Pay: $22.99/hour
Schedule: 17.5 hrs / week
Monday - Wednesday 10am - 3pm with 1/2 hour lunch, Thursday 10am - 2:30pm with 1/2 hour lunch

Position Overview: The Office Assistant provides essential support to the Office of the Vice President for Academic Affairs. This role involves administrative tasks, serving as the first point of contact for students, faculty, and staff, and ensuring effective communication and scheduling within the Office. Confidentiality and discretion are critical, given the sensitive information handled.
Key Responsibilities:
Office of Academic Affairs
Reception and Visitor Management:
Greet visitors and provide assistance as needed. Serve as the first point of contact for inquiries related to the Office of Academic Affairs.
Handle incoming phone calls, route calls to the appropriate personnel, and take messages when necessary.
Administrative Support:
As requested, assist in the monitoring of various email accounts
As requested, coordinate meetings, including reserving meeting rooms and preparing materials.
Assist with support and execution of other duties as assigned.
Document Management:
Assist in scanning, electronically filing, and organizing documents and records to maintain an orderly filing system.
Data Entry and Management:
Assist in the maintenance of spreadsheets, as requested, ensuring accurate and up-to-date information.
Event Coordination:
Assist in the planning and execution of academic events, meetings, and conferences, including logistics and communication with participants.
Support special projects and initiatives as needed.
Research and Information Gathering:
Conduct preliminary research on various academic topics as directed.
Assist in the compilation of information and data to support decision-making processes.
Office Operations:
Order and maintain office supplies, ensuring that necessary materials are readily available.
Retrieve and distribute mail from the mailroom, including packages and interoffice correspondence.
Collaboration and Communication:
Foster a positive working environment by collaborating effectively with colleagues in academic and administrative departments.
Maintain confidentiality and professionalism in all communications and tasks.
Required Knowledge and Skills:
Proficient in using common office software applications (e.g., Microsoft Office Suite, Google Office Suite).
Familiarity with standard office procedures.
Strong interpersonal communication skills.
Qualifications:
Ability to work independently and maintain a professional demeanor in all interactions within a fast-paced office.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent written and verbal communication skills.
Minimum Qualifications:
A combination of education, training, and experience indicating competency in administrative support functions.
