We are seeking a skilled and highly organized Administrative Assistant to help our office function more efficiently. This individual will play a key role in supporting managers and team members by managing schedules, handling communication, organizing office operations, and providing essential administrative support, including human resources and accounts receivable. Objectives of This Role
Serve as the eyes and ears of the office — responding to inquiries, sharing information, and assisting staff as needed
Ensure the efficient use and upkeep of office supplies, technology, and resources
Maintain effective workflows by refining systems and procedures, including scheduling, filing, and communication processes
Coordinate internal and external resources to keep projects/events and priorities moving forward
Support organizational goals while upholding high standards of professionalism and confidentiality
Key Responsibilities
Provide front-desk coverage: manage a multi-line phone system, greet guests, handle incoming/outgoing mail, and maintain an organized and professional office space
Support senior leadership with administrative tasks including scheduling, email correspondence, and document preparation (memos, letters, reports, forms, etc.)
Plan and coordinate meetings both in-office and virtually, including room setup, logistics, and communications
Arrange licensing and renewals for multiple states
Maintain accurate filing systems, employee contact lists, inventory logs, and supply databases
Manage office supply orders, food deliveries for meetings, and vendor relationships

Required Skills and Qualifications
High school diploma or equivalent
Proven experience in an administrative or office support role
Excellent written and verbal communication skills
Strong organizational and time-management abilities
Able to handle multiple tasks and changing priorities with accuracy and professionalism
Comfortable learning new software and office systems,
Learning to adapt and adjust to new tasks not within the job description
Preferred Qualifications
Associate or bachelor’s degree
Previous success in office management or executive support
Experience managing office budgets or expense reports
Skilled in creating or refining internal workflows and filing systems
Trustworthy and capable of handling confidential information with discretion
