Job Description

Job:  Development Admin
Location:  Hudson, NY
Pay:  $21/hour
Job Type:  Full Time, Temporary for approximately 3 months, maybe longer
Schedule:  Monday - Friday 9am-4:30pm plus occasional evenings / weekends for events

Job Summary:


The Development Admin supports the implementation of our nonprofit's fundraising, marketing, and communications strategies to advance the organization’s mission and growth. This role provides essential administrative, logistical, and operational support to internal teams by supporting duties such as drafting and editing communications materials, supporting special events and donor engagement activities, coordinating schedules and events, and ensuring accurate reporting and documentation. This position plays a key role in maintaining efficient advancement operations and fostering strong relationships with donors and stakeholders.

Key Responsibilities
  • Support the implementation of development, marketing, and communication strategies to advance our mission and goals.
  • Provide administrative and logistical support to internal teams and leadership.
  • Coordinate planning and executing special events, including donor gatherings, public programs, and fundraising activities.
  • Coordinate private tours and assist with donor cultivation activities as needed.
  • Maintain organizational calendars, appointments, and project timelines.
  • Support donor database functions, including data entry, report generation, gift acknowledgment, and tracking.
  • Prepare and update spreadsheets, reports, and other records to ensure accurate and efficient advancement operations.
  • Provide written back-up documentation and updates on pledges and gifts to the Finance Department.
  • Support the Finance Department during the annual audit and reconciliation processes.
  • Support proofreading and editing development and marketing materials, including donor communications, newsletters, and promotional content.
  • Support website updates and ensure content accuracy and consistency.
  • Assist with design of communications materials following organizational guidelines.
  • Perform other duties as assigned to advance our mission and operational goals.

Required Knowledge, Skills, and Abilities
  • Excellent attention to detail and a commitment to quality in all work
  • Excellent written and verbal communication skills
  • Excellent organizational and time-management abilities
  • Ability to handle information with discretion and confidentiality

Required Qualifications
  • Previous administrative experience required
  • Nonprofit experience is a plus
  • Development experience is a plus
  • Adobe creative suite and Microsoft office suite a plus
