The Executive Vice President of Operations (EVP of Operations) plays a critical leadership role in overseeing and optimizing the entire operational framework of our organization. This includes food sourcing, warehousing, distribution, and logistics to ensure the efficient, safe, and timely delivery of food to our partner agencies and the communities we serve. The VP of Operations will manage a diverse team, develop strategic initiatives, and implement best practices to maximize our impact, operational effectiveness, and donor trust.
Qualifications
Education: Bachelor’s degree in business administration, logistics, supply chain management, or a related field preferred
Experience: Minimum of 10 years of experience in operations management, preferably within the non-profit, food, or logistics sectors, with at least 5 years in a key leadership role.
Skills:
Proven expertise in logistics, warehousing, supply chain management, and inventory control.
Strong knowledge of food industry and food safety standards, regulatory requirements, and compliance practices.
Demonstrated experience in budget management, financial analysis, and operational cost control.
Excellent communication, interpersonal, and relationship-building skills.
Strategic thinker with a data-driven approach to decision-making.
Physical Requirements:
Work in a typical warehouse setting, exposed to extreme temperatures and weather.
Capable of extended periods of sitting, standing, bending, pulling, and reaching.
Ability to lift up to 80 pounds without assistance.
Safe use of power equipment required.
Position Summary:
Responsible for overseeing warehouse and transportation operations, including building and equipment maintenance, as well as supervising warehouse management and employees.
Duties and Responsibilities:
Strategic Leadership & Planning
Participate as a member of the Executive Team.
Work closely with the COO to develop and execute operational strategies aligned with the organization's mission, values, and strategic plan goals.
Collaborate with executive leadership to assess and enhance operational policies, procedures, and performance metrics.
Plan and implement strategies to address emerging food insecurity challenges, optimizing resources to meet community needs.
Team Leadership & Development
Under leadership of the COO, manage a high-performing operations team, fostering a culture of accountability, innovation, and cross functional collaboration.
Identify training needs, development opportunities, and succession plans to promote staff growth and retention.
Foster relationships with other departments, community partners, and with federal and state agency representatives to strengthen organizational support and community impact.
Apply strategic planning objectives in departmental management.
Determine staffing needs and manage recruitment and training.
Develop staff through goal setting, performance monitoring, and reviews.
Handle employee discipline and termination per company policy.
Review and approve employee timekeeping accurately and timely.
Warehouse and Transportation Operations
Collaborate with Executive Team Members, Directors and Managers to seamlessly execute cross functional priorities
Oversee warehouse operations, including receiving, storage, and distribution.
Ensure safe and sanitary product handling according to Feeding America, New York State, and USDA guidelines.
Develop and maintain an efficient inventory management system.
Ensure compliance with food sanitation and safety audits.
Maintain accurate records for products received and distributed.
Coordinate with other departments to improve food distribution and reduce waste.
Seek continuous improvements in operational efficiency and cost-effectiveness.
Assist in creating and implementing new food collection and distribution programs.
Maintain building systems (refrigeration, plumbing, electrical, etc.).
Ensure warehouse equipment maintenance.
Maintain adequate stock of warehouse supplies.
Maintain sanitation and safety standards per regulatory guidelines.
Oversee pest control programs.
Ensure safety for all employees and visitors.
Food Resourcing and Inventory Management
Oversee all product sourcing, including donations and USDA items.
Manage product resourcing and donor relations in collaboration with the Director of Food Industry Relations.
Ensure full compliance with USDA regulations for donated food.
Maintain a strong food purchasing program to obtain high-quality products at fair prices.
Ensure accurate inventory records, including adherence to proper receiving procedures, product codes, and pricing, using Primarius 2.
Expertly manage inventory audits, including USDA and financial inventory audits.
Collaborate closely with finance, purchasing, and programs teams to ensure smooth product flow and accurate record-keeping.
Volunteer Management
Oversee the volunteer department, including recruitment, scheduling, and volunteer recognition, in partnership with the Director of Volunteer Services.
Facilitate clear and effective communication between the Volunteer Department and the Warehouse, Transportation, and Advancement teams.
Manage a safe and sanitary Volunteer Center with established SOPs for sorting and repacking products by volunteers.
Ensure the Volunteer Department staff have access to all necessary resources.
Maintain a safe working environment for both staff and volunteers.
Keep accurate records of all volunteer activities.
Other Responsibilities
Hire, train, direct, and evaluate all personnel.
Oversee maintenance and improvements of facilities and equipment.
Manage vehicle fleet maintenance and compliance.
Serve on the Safety Committee.
Lead operational efforts in disaster response.
Perform additional duties as needed.
Maintain a clean and safe workspace.
Inspect power equipment prior to use.
Work independently and collaboratively to support the organization's mission.
Adhere to the organization's Employee Code of Conduct.
Perform other duties as assigned.
