Position: Executive Assistant
Pay:  $24 - $26 / hour BOE
Location: Poughkeepsie, NY 
Job Type:  Temp to Perm
Schedule:  30 hours / week to start typically within hours of Monday - Friday 10am - 6pm, but will grow into Full Time.  Occasional weekend work for special projects may be required.
  Position Summary
The Executive Assistant position is an executive assistant to the Executive Director and the Board President of our organization.
This position includes wide-ranging responsibilities. The Executive Assistant position requires a well-organized individual with an ability to work, prioritize and time-manage independently. A significant portion of the job will involve administrative tasks such as email correspondence, managing the Teaching Apprenticeship Program support needs, calendars and research. On-site responsibilities may include but are not limited to organizing file systems online and on site, placing online orders, printing and preparing meeting materials.
  • Maintain Calendars
  • Oversee & organize email inboxes
  • Manage pending list of calls & meetings; detail-oriented follow-up for tasks
  • Maintain and update contacts
  • Scheduling meetings, participant/organization research and follow-up
  • Support overall presentation of the Main Office and school on a daily basis
  • Maintain Google Drive
  • Make travel arrangements
  • Liaise with internal staff
  • General administrative assistance such as copying, scanning, data entry, sorting mail and filing
  • Assist in main office answering phones/taking messages and answering the door/welcoming parents and visitors
  • Offsite errands as necessary
  • Other duties, as assigned
  • Experience in an executive or administrative assistant role, or equivalent
  • Excellent computer skills and a high level of proficiency with the internet and technology, including Google Drive and Suite, Word, Excel, PowerPoint, and Canva, as well as the ability to learn new systems quickly.
  • Ability to proactively identify issues and employ strong problem solving skills
  • Excellent interpersonal and collaboration skills
  • Serving as a steward and professional representative of the organization
  • Ability to be flexible and adapt to changing priorities
  • Excellent organization skills with an acute attention to detail
  • Excellent time management skills
  • Excellent written and verbal communication skills
  • Dual language in Spanish and English strongly preferred
  • Enjoyment of young children and working in a busy environment

Job Requirements

Canva, Fundraising / development exp. helpful, Bilingual Spanish preferred
