Location: Newburgh, NY
Salary:  $60,000 – 70,000
Schedule: Monday – Friday, 8:00am – 4:30pm
Job Type: Full time, Permanent

About the Role
Seeking a highly organized and detail-oriented Freight & Logistics Specialist to support our operations with third-party contract manufacturers. This role is ideal for someone with 3–5 years of experience in end-to-end movement of raw materials and finished goods. The successful candidate will play a key role in ensuring timely and accurate logistics and transportation, both domestically and internationally, and supporting cross-functional initiatives to ensure a seamless supply chain flow.

The ideal candidate is a proactive problem solver with an understanding of procurement, production and delivery processes and thrives in a fast-paced, collaborative environment

Shipping/Supply Chain
  • Coordinate all aspects of international freight logistics, including transportation modes (air, sea, road, rail), routing, scheduling, and documentation.
  • Responsible for managing, tracking, updating the company Transportation Management System (TMS) to coordinate all dedicated and LTL-related shipments domestically across the United States.
  • Coordinate last-mile and regional deliveries in the NY/NJ area, including generating BOLs for in-house drivers.
  • Track shipments from origin through delivery and follow up on delays or exceptions with carriers, clients, brokers, vendors, and contract manufacturers.
  • Prepare, review, and proofread shipping documentation, including commercial invoices, packing lists, SLIs, and bills of lading.
  • Update QuickBooks with shipment details and corresponding packing lists to support accurate financial tracking.
  • Follow up with vendors and CMs on EXW readiness dates and shipment handoffs.
  • Communicate shipment status and updates to internal teams and external partners as needed.
  • Assist with rate requests and quote comparisons across approved carriers and brokers.
  • Identify shipment issues or documentation discrepancies and work with cross-functional teams to resolve them.
  • Support compliance with international shipping and customs requirements.
  • Help improve logistics processes by keeping data organized, accurate, and accessible.
  • Audit shipment data to ensure accuracy and compliance.
  • Collaborate with teams to analyze shipped POs and SKUs and improve processes.
  • Monitor industry, regulatory, and technology changes impacting international freight.

Compliance
  • Ensure all international shipments comply with customs regulations and documentation requirements.
  • Work closely with customs brokers to facilitate smooth and compliant clearance.
  • Monitor regulatory and tariff changes impacting imports and exports.
  • Maintain accurate records to support inventory control, fulfillment, and reporting.
  • Verify inbound receipts and outbound order details to ensure inventory and documentation accuracy.

Freight
  • Assist with freight rate negotiations as needed and support carrier selection.
  • Help evaluate shipping options based on cost, service level, and delivery requirements.
  • Assist with tracking and reviewing freight costs to support budget visibility and control.
  • Support Finance with freight-related cost tracking, documentation, and reconciliation.
  • Maintain accurate freight records and shipment documentation across systems.

Skills and Competencies
  • Strong knowledge and experience in logistics, transportation, and freight coordination.
  • 3-5 years experience in logistics, import/export / customs / trade-doc / cross-border export
  • Proficiency in QuickBooks, Transportation Management systems (FreightPOP preferred), and Microsoft Excel
  • Ability to analyze data critically and support management in optimizing inbound/outbound workflows.
  • Familiarity with project management tools and methodologies.
  • Excellent communication skills for effective collaboration across departments including procurement, logistics, and production teams.
