Job: Legal Secretary
Pay: $20-$25/hour BOE
Location: Highland, NY
Job Type: Temp to Perm
Schedule: 25-35 hours per week worked within Monday-Friday 9am-5pm
Position Summary;
Based in Highland, NY, the law firm y primarily provides real estate and estate planning services. The Legal Secretary will work under the supervision of the firm's attomeys on a variety of administrative and clerical tasks such as preparing legal documents, communicating information to clients, transcribing dictation, and maintaining and organizing files.
Essential Job Duties:
Prepare and proofread legal documents, including, but not limited to, deeds, property transfers, wills, trusts, power of attorney, and healthcare proxies. Prepare information in accordance with legal procedures and regulations.
File / e-file various court proceedings.
Assist the firm, clients, and other stakeholders (law offices, banks, etc.) in tracking and meeting desired deadlines.
Effectively communicate with prospective and established clients. Provide courteous and professional customer service to all clients, callers, and visitors.
Answer phone calls, take accurate notes/messages, and redirect calls as appropriate.
Regularly check and respond to voicemail messages.
Transcribe attorneys' voice recordings accurately and with attention to grammar, spelling, and punctuation.
Gather relevant case information from various sources, including client files, attorney instructions, and online research.
Assist attorneys in drafting emails, as needed.
Provide scheduling support to attorneys, as needed.
Organize and maintain client files, contact information, and administrative documents so that they are complete and easily retrievable.
Maintain confidentiality of sensitive information while managing client information.
Additional Job Duties:
Perform offsite errands, such as bringing mail to be sent from the post office, going to the bank, and visiting an offsite storage unit for files.
Plan and implement office celebrations.
Other duties, as assigned.
Required Education:
High school or equivalent.
Required Experience:
Minimum 1-2 years' experience performing administrative duties in an office environment.
Preferred Job Experience:
Previous experience working in a law firm.
Knowledge of standard legal practices and court system practices in real estate and estate law.
Required Knowledge & Skills:
Customer service orientation: demonstrates a helpful, responsive, and service-minded approach in all interactions.
Highly proficient in Microsoft Office (Word, Excel, Outlook). Able to gain proficiency in court-filing computer systems, transcription software, and other relevant technology.
Attention to detail: delivers high levels of accuracy in word processing and all written materials.
Able to communicate clearly and accurately with internal team members, clients, and other stakeholders, verbally and in writing. English proficiency required.
Highly organized, with excellent time management. Able to juggle multiple tasks, maintain productivity in an environment with frequent interruptions, and change priorities as needed.
Able to anticipate needs and solve problems proactively.
Demonstrates good judgment, reliability, and ethical behavior.
Working Conditions:
Must be able to remain in a stationary position the majority of work time in an office environment.
Occasionally move about inside the office to access file cabinets and office tools / equipment
Regularly operates a computer and other office equipment, such as printer, copy machine, fax machine, phones, and voice recorder.
